What data we process, and why

• Dashboard access — booking code and last name, checked against your booking so that the stay instructions are shown only to the guest. Legal basis: performance of the accommodation contract.
• Security — the IP address of access attempts, kept to prevent abuse (attempt limiting). Legal basis: legitimate interest.
• Arrival and departure times — if you tell us, we use them only to welcome you and to schedule the cleaning of the apartment. Legal basis: performance of the contract.
• Promotional messages (optional) — only if you tick the dedicated box when signing in, we take your phone number and/or email from the booking and use them to send you tips for your stay, dedicated offers and invitations to share your experience (for example with a review), via WhatsApp or email. Legal basis: consent. Without the tick we store no contact details, and the dashboard works exactly the same.

Recipients and processors

Your data is handled by suppliers acting as processors on our behalf: the booking management system (PMS), the cloud infrastructure hosting the dashboard (Supabase, Vercel) and — for contact details collected with consent only — the CRM platform we use for communications (HighLevel Inc., “LeadConnector”) and the sending channels (Meta's WhatsApp, email). Some of these suppliers are based in the United States: the transfer is covered by the safeguards provided for by the GDPR (standard contractual clauses and, where applicable, the EU-US Data Privacy Framework). We do not sell or pass on your data to third parties for their own purposes.

Retention

Booking data is kept for the duration of the stay and for subsequent legal obligations. Contact details collected with consent are kept until you withdraw it.

Your rights

You may request access to, rectification or erasure of your data, and withdraw your consent at any time (just message us “STOP” on WhatsApp or by email): withdrawal does not affect processing already carried out. You may also lodge a complaint with the Italian data protection authority (Garante per la protezione dei dati personali).
